Information we may collect
When you contact us, book a call, or complete the AI-readiness assessment, you may provide information such as your name, business name, email address, phone number, appointment details, business goals, team and systems information, and the information you choose to share about your business.
The assessment also records your answers, calculated readiness result, priority area, and whether you have asked to be contacted or chosen to receive marketing updates.
When you request the free Growth Audit, the embedded form asks for your first and last name, business, phone number, email address, and website where available. The audit service may also retrieve and process public business information needed to generate the report, including listing and contact details, website and marketing technology signals, public review and reputation information, website-performance results, and local-search visibility data.
When you request the Small Business Social Media Playbook, we collect your email address and record the consent wording, version, time, and resource source associated with the request. Short-lived, privacy-preserving security records are also used to prevent automated or repeated misuse of the download.
Basic technical and usage information may also be processed by the website, hosting platform, security services, analytics tools, or embedded booking provider. This can include device, browser, page, referral, and approximate location information.
How information is used
- To respond to enquiries and manage booked conversations
- To calculate, save, and provide your AI-readiness result and recommended next step
- To generate the requested Growth Audit, add the request to our CRM, and contact you about the report and relevant next steps
- To understand your needs and provide requested services
- To operate, secure, and improve the website
- To meet legal, accounting, and business obligations
- To contact you about the assessment where you have requested a conversation
- To send marketing updates only where you have chosen to receive them, with an option to unsubscribe
- To provide the requested social media playbook and send the occasional practical social media guidance described beside its download form
Permission to process and store the details and answers needed to provide your assessment result is required to submit it. Asking We Solve Media to contact you and choosing to receive marketing are separate and optional.
Submitting the Growth Audit form asks us to generate the report and allows us to follow up about that request and relevant We Solve Media services. It does not by itself enrol you in unrelated ongoing marketing. Where separate marketing consent is requested, that choice should be clear and can be withdrawn.
Service providers and linked tools
This website may use trusted service providers for hosting, scheduling, communications, analytics, and business operations. The AI-readiness assessment is provided on this website and its submissions are processed through our hosting infrastructure. The booking calendar is an embedded third-party service that may process information under its own privacy terms. We only share information where needed to operate the service, fulfil a request, or meet a legal obligation.
Playbook requests are securely sent from our server to Resend, our email communications provider. The email address is added to the existing social media contact segment so we can provide the requested resource and the practical social media emails you agreed to receive. Resend processes that information under its own security and privacy arrangements. The Resend API key and internal contact-segment identifiers are never sent to your browser.
The Growth Audit form and automated report are provided through the HighLevel / LeadConnector prospecting service and its report infrastructure. The service processes the submitted contact and business information, adds the request to our CRM, and uses available public and technical signals to generate the report. The embedded form may also use Google Maps or Places services to help identify the correct business. These providers may receive basic device, browser, request, and usage information when their embedded tools load.
HighLevel and LeadConnector process information under their own privacy policy. We do not place a HighLevel account key or private API credential in the browser to display this form; the public widget identifier only identifies which embedded audit experience to load.
A short-lived, strictly necessary download cookie is set after a valid playbook request so the protected file can be delivered and retried. It cannot be read by browser scripts and expires automatically. Our hosting database stores only hashed identifiers for the consent record, download grant, and abuse prevention; it does not store a second readable copy of the submitted email for this resource.
The playbook file itself is held in private object storage with no public bucket address. It is delivered only through the access-controlled website download endpoint after a valid request.
The homepage may display public rating and review content supplied through the Google Business Profile API. Our server checks for updated review content no more than once each week and temporarily stores a limited cached copy of the reviewer name, rating, comment, and Google timestamps. That API-sourced copy is replaced as a single snapshot and is never displayed or retained once it is more than 30 days old.
The cached review feed avoids a Google API request from each visitor’s browser. Google may still receive information when the server checks for updates or when you choose to open a Google link, and Google hosts and controls the original review listing. That use is subject to the Google Privacy Policy.
Retention and security
Information is retained only for as long as it is reasonably needed for the purpose it was collected, normal business records, dispute resolution, or legal obligations. Reasonable safeguards are used, but no internet service can promise absolute security.
Playbook download grants and rate-limit records are short-lived. The associated consent audit may be retained for as long as needed to demonstrate how and when permission was obtained. Resend keeps the contact record until it is deleted or no longer reasonably required; an unsubscribe changes its marketing status so future broadcasts are suppressed.
Growth Audit contact and business information may remain in our CRM and the audit provider’s systems for as long as reasonably needed to provide the report, manage follow-up, keep normal business records, resolve concerns, or meet legal obligations. Public and technical results are a point-in-time snapshot and may become outdated.
Your choices
You can ask what personal information We Solve Media holds about you, request a correction, unsubscribe from marketing, withdraw marketing consent, or raise a privacy concern. Some records may need to be retained where the law requires it.
Social media emails will include an unsubscribe method. You can also contact us directly to withdraw that permission or ask for your contact record to be updated or deleted.
You can also ask us to stop Growth Audit follow-up or request access to, correction of, or deletion of the personal information held in connection with your report, subject to any records we must retain.
